How to give your team a shared brain with Claude and ChatGPT (no code)
Your team already uses AI. The problem is that everyone’s AI knows something different.
Sarah’s ChatGPT knows how you write, because she’s drafted emails in it for months. Marcus’s Claude knows your pricing, because he pasted the sheet in once. The new hire’s AI knows nothing, so their first draft reads like a stranger wrote it. Nobody did anything wrong here. The “no code” part, in plain terms

Here’s the plain version. Connecting an AI to a shared brain uses a thing called a connector. Its technical name is MCP, and you’ll see that name in Claude’s and ChatGPT’s settings. You don’t need to know what it stands for, the same way you don’t need to know how email gets delivered in order to send one. You paste one link, click connect, and the AI can read your workspace. The word looks technical, but the actual step is copy and paste.
Nobody writes code. Nobody installs anything. Whoever sets it up just needs to copy a link and click a button.
How to set up a shared AI brain, step by step
Here’s the whole path from nothing to a connected team. You can do the first project in a single sitting.
Step 1: Make your workspace
Sign up and create a workspace for your team. This is where the shared brain lives. One workspace per team is the normal setup. You’ll invite people in a later step.
Step 2: Brain-dump your first project
Don’t try to write clean docs. Pick one real project the team is working on and dump what you know about it. Say it the way you’d explain it to a new hire over coffee. What is it, why does it matter, who’s the customer, what have you already decided, what are you unsure about.
You don’t have to organize any of it. The workspace takes the messy version and turns it into a project with its context and its tasks. Your job is just to get what’s in your head written down somewhere. That part is the one bit only you can do.
Step 3: Add your process and writing style
Now add the how-we-do-things layer. Your writing style is the big one, because it’s what people most often get wrong when they draft in their own AI. Write down how your team sounds, or paste in a few examples that got it right. Add any checklists you repeat: how a refund gets handled, what a good proposal includes, how a post gets published.
This is the layer that makes a draft come back sounding like you instead of a generic guess.
Step 4: Invite your team
Add your people by email. Each person gets their own login. You set what each person can see and change: some just read, some can edit, some run the whole project. A watcher reads, an editor adds and changes, an admin runs the project. You set it once and it stays that way.
Everyone now sees the same workspace. That alone helps, before any AI is even connected, because the knowledge is finally in one place instead of scattered around.
Step 5: Connect Claude
Open your workspace settings and find the connector link. Copy it. In Claude, go to settings, add a connector, and paste the link in. Claude asks you to sign in to your workspace once to confirm it’s you. After that, Claude can read your shared brain.
Test it. Ask Claude something only your workspace would know, like a decision you wrote down in Step 2. If it answers with your real context instead of a general guess, it’s connected.
Step 6: Connect ChatGPT
Same idea, same link, with one extra step. ChatGPT can read the same workspace, but as of 2026 adding a custom connector there takes a paid plan (Plus or above, not the free tier) and you have to switch on developer mode in settings first. It’s also still a beta feature. Once that’s on, you add a connector and paste the same workspace link, and ChatGPT reads from the one brain too. Claude’s side is the more open of the two right now, so if you have a mix, expect the ChatGPT setup to have a little more friction.
This is the part that pays off: it stops mattering that Sarah uses ChatGPT and Marcus uses Claude. They both pull from the same context and the same writing style, so the work comes out consistent no matter who did it or which tool they used.
What changes once your team’s AI is connected
The clearest test is the new-hire test. Before, a new person’s AI knew nothing about you, and their first month of drafts showed it. After, they open Claude or ChatGPT on day one and it already knows your style, your customer, and your past calls. They get useful faster because they inherited the brain instead of rebuilding it.
The everyday version is quieter. Two people answer a customer the same way without checking with each other. A draft comes back on-brand the first time. Nobody re-asks a question that was settled in March, because the answer is in the brain and the AI can read it.
You’re still the one directing it. It’s a tool your team points at the work, not a teammate. What changes is that it’s pointed at the same information for everyone.
Setting this up now puts you ahead
If you set this up now, you’re ahead of most teams your size. The tools to do it without a developer only recently got good enough that a non-technical person can wire them up in an afternoon. Getting in early on that is a genuine head start. Your team gets consistent, context-aware AI work while everyone else is still re-pasting the same guidelines into a fresh chat every morning.
One caveat, and it’s dated on purpose. As of 2026, the built-in memory and Projects features inside Claude and ChatGPT live in one person’s account. They’re useful for that one person. What they don’t do is give your whole team one shared place that both tools read from, which is the gap a connected workspace fills. These products change fast, so check where things stand when you read this, but that’s how it works today.
